What the register must answer
A deadline register earns its place when a new program coordinator can answer four questions from one row: which funder, which opportunity, what has to be submitted, and who can prove it was submitted. Rows that hold only a date and a funder name fail that test on the first turnover.
Separate the funder deadline from internal gates
Most missed submissions are not missed at the final hour. They fail earlier, when a budget narrative waits on a finance review or a letter of support waits on a partner organization. List each internal gate as its own dated row so the final deadline is the last checkpoint rather than the only one.
Choose one authoritative clock
Portals display time in their own zone and sometimes show a server time that differs from the confirmation email. Write down the zone used by the funder, the exact portal timestamp, and the person who verified it. If a funder accepts email, save the sent message with headers rather than a forwarded copy.
Name an owner and a backup
The program lead owns the narrative and the finance lead owns the budget, but both need a named backup. Record portal credentials in the organization password manager and confirm the backup can log in before the week the application is due. A backup who has never opened the portal is not a backup.
Capture submission evidence
After submission, attach the confirmation page, the automated receipt, and the submitted PDF to the register row. Note the submission timestamp and the person who pressed submit. Without that evidence, a later dispute about whether a file arrived becomes a memory contest.
Handle portal changes and reopened windows
Funders revise questions, extend dates, and occasionally reopen a closed opportunity. Log each change with the date it was observed and the source, then notify the owner. Do not overwrite the original deadline; keep the history so the team can see what changed and why the plan moved.
Run a short weekly review
A fifteen minute Monday review should look at every row due in the next thirty days, every internal gate overdue, and every submission with no receipt. The review is not a status meeting. It ends with named next actions and dates, and the register is updated during the call rather than afterward.
A turnover example
A foundation program officer leaves in early October. Her register listed the final deadline but not the portal login or the partner letter still outstanding. The new coordinator discovers both three days before the deadline. A register that recorded credentials, gate owners, and the partner contact would have surfaced the gap in September.
Register fields worth keeping
Keep funder, opportunity, program, request amount, final deadline with zone, internal gates, owners and backups, portal URL, credential location, submission evidence, decision date, and next report due. Add a free-text note for unusual requirements, but never use the note field as the only home for a deadline.
